Managing Appointments

Overview

You can set up appointments with a person, and the system automatically sends email and SMS notifications upon booking. Additionally, the systems sends reminder notifications as the appointment date draws near. This guide explains how to view, schedule, cancel, and reschedule appointments.

When you need to organize and manage your schedule of care management appointments, ensuring your availability is reflected accurately.

* If you created an appointment for another user, you need to view the person’s Appointments tab on their CPV to verify. * You can cancel appointments with other users. * If you are the user owner of a Guided Health Journey, a person can self-schedule time with you via the member app. * If there are no times displayed when creating an appointment, the chosen **Assignee** has no availability on that date. Choose another date. * You can save time by scheduling an appointment from the person's CPV, instead of the Home page, since the person's details are pre-filled. * Selecting "Month" as the calendar display option shifts the view by 4 weeks when you go forward or backward.

Accessing and Viewing Appointments

You can access appointments from any of the following areas:

  1. Your individual Home page

  2. Appointments icon

  3. Comprehensive Person View (CPV)

### Individual Home PageClick **My Appointments** in the **Connect** panel.

### Appointments Icon**Click** the **Appointment** icon at the top of the page.

### Comprehensive Person View (CPV)To view all appointments scheduled with a person, go to the CPV, and then click **Appointments.**

Scheduling an Appointment

The starting point is a person’s CPV on the Appointments tab or the Appointments icon on the worklist.

Click **Create Appointment.**

In the Create Appointment Screen, make selections for the following required fields:* **Event Type:** The types and duration of each are configured by your organization. * **Time Zone:** This is the person's time zone. * **Appointment Owner:** This will default to you. You can choose yourself or another user whose calendar is connected to Appointments. Click **X** to clear and select another owner. * **Recipient Details:** Select a Person by typing in the person's name or their Member ID. If you started from the CPV, the name is pre-filled, but can be changed.

It is recommended to start from the person's CPV to create the appointment. Entering the person name from the appointments icon could return multiple results for the same name.

_(Optional)_ Select a **Topic** for the appointment. If the recipient has open programs, select the program the appointment covers.

If the person has no open programs, you may continue to schedule the appointment without a topic.

Closed programs will not be displayed.

_(Optional)_ Click **Send Reminder** to have a reminder sent to yourself 24 hours prior to the scheduled time.

Select a date and time from the calendar for the appointment by clicking on the **time**. The default display is the current day plus six days. Use the arrow ![](<../../../../.gitbook/assets/image (624).png>) to advance the calendar ahead. You can move back to current day by using the ![](<../../../../.gitbook/assets/image (625).png>) back arrow. Use the scroll bar on the right side to see additional times.

Click **Create**.

(_Alternate)_ Click **Cancel** to exit without booking the time.If you created the appointment from the appointment icon, you will be returned to that view with the new appointment displaying if its scheduled in current week. Use the arrows to advance if it was scheduled for a later date.

To exit, click **Close** or use the **X** in the upper right corner to return to the worklist. If you started the appointment from the CPV, you will be returned to the **Appointments** Tab.

Adding the Appointment to Your Calendar

If you are the Care Manager who has the appointment scheduled, you will receive an email confirming the appointment. In the email, there are Google and iCal/Outlook options to your calendar.

**Click** the link that aligns with your mail account to add the appointment to your calendar. The invite will generate into your Downloads. You can access directly on the browser or in your downloads folder.

**Click** the file and save the appointment.

Canceling an Appointment

The starting point is either a person’s CPV on the Appointments tab or the Appointment icon sub-menu.

Find the appointment on the calendar.

Click the **More** ![](<../../../../.gitbook/assets/image (289).png>) icon.

Click **Canceled.**

Rescheduling an Appointment

The starting point is either a person’s CPV or the Appointments tab on the Connect icon sub-menu.

Find the appointment on the calendar.

Click the **More** ![](<../../../../.gitbook/assets/image (289).png>) icon.

Click **Re-schedule.**

Select a new date and time, and then click **Re-schedule.**

(_Alternate)_ Click **Cancel** to exit without changing the date or time.

The Care Manager the appointment is rescheduled with will receive an email confirming the appointment. In the email, there are **Google** and **iCal/Outlook** options to your calendar.

_(Alternate)_ Reschedule from the confirmation email.From the confirmation email, click **Reschedule**.

Enter the information for the reschedule and click **Reschedule.**A Confirmation page displays the new date and time with links to add to Google and iCal/Outlook

Selecting Appointment Outcome

The starting point is either a person’s CPV or the Appointments tab on the Appointment icon sub-menu.

Locate the appointment on the calendar.

Click the **More** ![](<../../../../.gitbook/assets/image (289).png>) icon.

If the appointment occurred, select **Completed**. If the person was not able to be reached, select **No Show**.

Send Schedule

You can send your schedule to a person so they can select an appointment time. The invitation is sent via SMS and email.

The starting point is either a person’s CPV or the Appointments tab on the Appointment icon sub-menu.

Click **Send Schedule**.

Enter the required fields for **Event Type** and **Appointment Owner**.

If you started from the CPV, the **Recipient** will auto-populate. If you started from the Appointments icon, you must enter the person's name.

It is recommended to start from the person's CPV to send the schedule. Entering the person's name from the appointments icon could return multiple results for the same name.

Select the **Topic**. If there are no open programs for the person, you can continue without one.

Click **Send**.

A success message displays.

(_Alternate)_ Click **Cancel** to exit without changing the date or time.

Use the **Engagements tab** in the CPV to review the status of the appointment invitation.
