Managing Notes
Overview
Notes allow you to enter information or a narrative to be saved with the program or person. Notes can be added to any Person, Program, Plan of Care, Tasks, Cost Saving, and Assessment.
This user guide details the capabilities with notes. All notes have the same features regardless of the associated level.

When you want to capture additional information about the person or the care management case.
Ensure that you do not enter a note at the person level if it is intended to only be visible to users who have access to the program.
Adding a Note
The type of note you want to enter determines your starting point:
Person note: Go to the person's CPV.
Program note: Do one of the following:
Search for the Program ID search
Go directly to the program from a worklist
Go to the person's CPV, and then use the Programs tab to find the program.
Task note: Do one of the following:
Go directly to the task from a worklist
Go to the person's CPV, and then use the Tasks tab to locate the task.
Plan of Care, Assessment, and Cost Savings note: Go to the program, and then use the tabs in the program journey for each area.
Navigate to your starting point for note entry. In this example, we'll add a Person note, beginning from the CPV.
Click the **Notes** panel on the right-hand side, and then click **Add Note**.
_Depending on the page you are viewing, the labels on the panel may include other functions. For instance, on the program detail’s view, the panel label is **Notes + Attachments + Letters**._
Select a **Note type.**
_Depending on where the note is being entered, the Note Type is **not** always required._
Enter note text, and then click **Create Note**.
_Note text can include a maximum of 10,000 characters, including spaces and new lines. E_ach new line is equal to two characters. _However, character count is not affected by formatting or the addition of bullet points and numbers._
(_Alternate)_ Click **Close** to leave the page without saving the note.
Formatting Notes
All notes can be formatted for easier display. The formatting controls are available at the top of the note entry box.
Filtering Notes
There are several filters available on the Notes list panel. The filtering options on the CPV Notes list panel is the most extensive, because all notes associated with the person are displayed.
### Filtering by Date RangeManually enter a date range or select from the calendar picker.
### Filtering by EntitySelect the type of note to display from the drop-down box.
_(Alternate)_ Select **All** to display all notes available at that level.
Available filters depend on the level you are viewing. For instance, at the CPV level, all filters are available, but there is no entity filter at the task level.
### Displaying Voided NotesEnable the **Show Voided Notes** switch to display voided notes.
Voiding a Note from the CPV
Starting point is the CPV.
Click the **Notes · Attachment** panel on the right side of the page
On the note to void, click **More**

Click **Void.**
Select the **Void Reason.**
Click **Void**.
(_Alternate)_ Click **Close** to cancel voiding the note and return to the CPV.
Voiding a Note from the Note View
Starting point is the Notes View with a list of unvoided notes on the left-hand panel.
Click **Void.**
Select the **Void Reason.**
Click **Void**.
(_Alternate)_ Click Close to cancel voiding the note and return to the note list view.
Screen Reference
Printing Notes
The Print Notes feature allows you to print notes associated with a specific person and/or program(s) from the CPV.
From the CPV, click **Print**, and then select **Print Notes**.
**Filters** are available for the notes:* **Dates **_**(Optional):**_ Use the calendar to select the date range for the notes you want your notes for. If no date is entered, no filter will apply to the notes.
* **Associations:** Select each note association you want to print. All note associations are available to select individually, in combination (i.e. Person and Task), or you can Select All.
* **Show voided notes:** This is enabled by default, and voided notes are included in the output. To exclude voided notes from the output, disable **Show voided notes**.
Based on your selections, you may be prompted for note types and programs to print:* **Person** notes include **all** note types by default. To exclude certain note types, deselect each note type you want to exclude.
* **Program** notes allow you to select each program you want to include. To include all programs, click **Select All**.
* The Note Type defaults to all types. Deselect any note types you do not want to include in the output.
* **Assessment, Plan of Care, Task**, and **Cost Savings** do not have note types.
After making your selections, click **Print**.
_**(Optional)**_ Click **Cancel** to return to the CPV.
The Print window displays, and you have the option to print to a physical printer (if available to you), or you can save to a PDF per your organizations policies and procedures.
_Notes display in descending date order, with most the recent note first. If you selected multiple associations, notes display by date and are not grouped by association._
When selecting criteria for notes to print, if nothing matches the selection, an error message displays and the Print button disabled.
