Editing a Person

Overview

Person information is most often loaded into the platform via an external load process. This information can be edited if changed information about the person is received, or the information is not contained in the person load.

When you are working with a person and have a need to document information on their profile that is not in the platform.

* Be aware when the person is received in a data load, any data manually entered that does not match data in the load is overwritten, with the exception of custom fields and alerts. * You can quickly move through the pages in the person view by using the list on the left-hand side.

Editing Demographics

The starting point is any screen that displays the person header.

Click **Edit Details**.

Make the necessary changes to the **Profile**._Note:_ Fields that are gray are not able to be changed

Click **Save & Exit** to leave the Person view.

_(Alternate)_ Click a tab on the left panel to continue editing person data. Changes made on the Profile page are saved automatically.

_(Alternate)_ Click Save to save the changes and remain on the Profile page

_(Alternate)_ Click Close to leave the Person view without saving your changes

Adding a New Enrollment

The starting point is any screen that displays the blue person header.

Click **Edit Details.**

Click **Enrollment** on the left panel.

Click **Add Enrollment.**

Select the subscriber category.* If **This Person** is the subscriber, change the subscriber ID if it differs from the person ID. * If **Another Person** is the subscriber, enter or search for the Subscriber ID of the subscriber. See [Searching for a Subscriber.](editing-a-person.md#searching-for-a-subscriber)Note: If the subscriber is **Unknown**, the Subscriber ID field is not available.

Select the **Relationship** of the member to the subscriber. The default Relationship is _Self_ when the subscriber is **This Person.**

Enter an **Effective Date** or select from the calendar picker

Select **Coverage Type**. A person can have only one active _Primary_ enrollment at any given time.

_(Optional)_ Fill in additional fields on the Enrollment page. To add a provider, refer to [Adding an Enrollment Provider.](editing-a-person.md#adding-an-enrollment-provider)

_(Alternate)_ Click **Close** to leave the enrollment page without saving the new one.

Click **Close** to leave the Person view

Editing an Existing Enrollment

The starting point is any screen that displays the person header.

Click Edit Details.

Click **Enrollment** on the left panel.

The Enrollment panel shows all eligibility records, whether uploaded or entered manually. Enrollments in gray indicate records superseded by a later member load, but they can still be edited if needed.

Click the pencil icon on the enrollment to edit.

Make the necessary changes to the **Enrollment**. To search for a different subscriber, refer to Searching for Subscriber at the end of this job aid.

Click **Save.**

_(Alternate)_ Click **Cancel** to return to the enrollment list and discard changes.

Click **Close** to leave the Person view.

_(Alternate)_ Click a tab on the left panel to continue editing person data.

Editing Custom Fields

The starting point is any screen that displays the person header.

Click **Edit Details.**

Click **Custom Fields** on the left panel.

Make the necessary changes to the **Custom Fields**. Required custom fields are marked with a pink asterisk (\*).

Click **Save & Exit** to leave the Person view.

_(Alternate)_ Click a tab on the left panel to continue editing person data. Changes made on the Custom Fields page are saved automatically

_(Alternate)_ Click **Save** to save the change and remain on the Custom Fields page.

_(Alternate)_ Click **Close** to leave the Person view without saving your changes

Editing Alerts

Click **Edit Details.**

Click **Alerts** on the left panel.

Make the necessary changes to the **Alerts.** Select a checkmark to add an alert to a person. Deselect a checkmark to remove the alert. A person can have one of more alerts selected.

Click **Save & Exit** to leave the alerts page.

(_Alternate)_ Click a tab on the left panel to continue editing person data. Changes made on the **Alerts** page save automatically.

(_Alternate)_ Click **Save** to save the changes and remain on the **Alerts** page.

(_Alternate)_ Click **Close** to leave the Person view without savings your changes.

Each selected alert displays in a banner on the person's CPV.

Editing Alternate IDs

Click **Edit Details.**

Click **Alternate ID** on the left panel

Select an **ID type**

Enter the **Alternate ID** value

Click **Add Alternate ID.**

Click **Close.**

Adding an Enrollment Provider

When creating a new person, you can associate providers and a role to an enrollment. This is an optional process.

Click **+Add Provider.**

Select the **Provider type.** Available options are: Facility, Practitioner, and Provider Group.

Enter search criteria.

An informational message appears after the system identifies which subset of fields enables. Unavailable fields are gray. To enter a different search criterion, delete all previously entered criteria.

To search inactive providers, de-select the **Search active providers only** checkbox.

Click **Search.**

From the search results, locate the provider to add.

Click **+Add**

Enter an **Effective date** and a **Termination date** by typing or selecting from the calendar picker.

Click **+Add Provider.**

(_Alternate)_ Click **Cancel** to return to the search results.

Searching for a Subscriber

When creating a new person, you can search for and select the subscriber. This action automatically fills in the new person’s enrollment information based on the subscriber's existing enrollment details.

Click **Search for Subscriber ID.**

Select what field to search by.

Enter a search value.

Click **Search.**

The results contain records found that match the search criteria. For instance, if you chose **Subscriber Identifier Search**, all active enrollment records with that subscriber ID display for selection.

_(Optional)_ Click on the caret to view full details on the enrollment.

Click **Add** on the enrollment to be used as the subscriber for the person.

Click the X on the top of the model to close the subscriber search.
