Adding a New Person
Overview
You are able to manually add a person to the system. A common use case is for a newborn whose eligibility has not yet been loaded into the Data Platform.

* Access to Care Management or Utilization Management * Permission to create a person
When you have exhausted all search criteria for a person in the platform and need to add the individual to be able to perform care management with them.
* Be aware of whether your organization permits you to add a new person. * Exhaust all search options before adding a new person to the system. * When the person is received in a data load, any data manually entered that does not match the data in the load is overwritten, with the exception of custom fields and alerts. * It is quicker to use the Search for Subscriber method if you have the new person’s subscriber ID. * Make sure you mark the person as Active before you save and exit if you want to immediately begin working with that person. * The Active flag is not connected to enrollment information. * The phone number and email that are marked as preferred are displayed on the member header ribbon. * To enter a mailing address, the following must be valued: address 1, city, state, and zip code. * You can quickly move through the pages in the person view and enrollment view by using the list on the left-hand side.
Creating the Person's Profile
From any page in Aerial, click the advanced search icon at the top of the page.

Click the **Auto Assign ID** checkbox or enter a value in the **Person ID** field.
An auto-assigned ID begins with the letter T and is followed by numbers. If you choose to auto-assign an ID, the **Person ID** entry field disables.
Enter the person’s **Last Name** and **First Name.**
Enter a **Birth date** or select a date from the calendar picker. The date cannot be in the future
Select a **Gender**.
_(Optional)_ Fill in additional fields on the Profile page.
### (_Optional)_ Add a phone number* Select a **Phone Type** * Enter a full 10-digit phone number * (_Optional)_ Enter an extension * Click **Add Phone**
### (_Optional)_ Add an email address* Select an **Email Type** * Enter the email address * Click **Add Email**
If you enter a phone number or email address, the first one you enter will default to the **Preferred**. If you enter additional phone numbers or a second email address, you change the Preferred by selecting the flag icon
on the one you choose.

At this point, the person has been created and appears on your Recently Viewed Person list if you return to your homepage. The person is _not_ active, and you are only able to create a member-level task. It is necessary to add an active enrollment for further actions.
Adding Enrollments
Select the subscriber category.* If **This Person** is the subscriber, change the subscriber ID if it differs from the person ID. * If **Another Person** is the subscriber, enter or search for the Subscriber ID of the subscriber. Refer to [Searching for a Subscriber](adding-a-new-person.md#searching-for-a-subscriber). * If the subscriber is **Unknown**, the Subscriber ID field is not available.
Select the **Relationship** of the person to the subscriber.
Enter and Effective Date or select from the calendar picker.
Select **Coverage Type**. A person can have only one active _Primary_ enrollment at any given time.
_(Optional)_ Fill in additional fields on the Enrollment page. To add a provider, refer to [Adding an Enrollment Provider](adding-a-new-person.md#adding-an-enrollment-provider).

### Enrollment Custom Fields & Enrollment AlertsYour organization may have configured enrollment-level custom fields or alerts. If there are required custom fields, you must value them to complete the creation of the person and set as active.* Value custom fields as appropriate. * Click **Save.** * Make the necessary changes to the **Alerts.** Select a checkmark to add an alert to the enrollment. Deselect a checkmark to remove the alert. Multiple alerts can be added to a single enrollment. * Click **Save.** * _(Alternate)_ Click **Save & Exit** to save changes and return to the Enrollment History listing. * _(Alternate)_ Click **Cancel** to return to the Enrollment History listing without saving any custom field values.
### Enrollment ReviewPlease review all the enrollment data thoroughly and ensure its accuracy. When you need to make any modifications, click the pencil icon situated above the specific section where the changes are required.* Click **Close.**
Click **Save & Exit.**
The person is now active in the system. You can perform actions on this person, including creating programs. The person also appears first in your Recently Viewed Person list on your homepage.
Searching for a Subscriber
When creating a new person, you can search for and select the subscriber. This action automatically fills in the new person’s enrollment information based on the subscriber's existing enrollment details.
Click Another Person from the Enrollment Details section.
Click **Search for Subscriber ID.**
Select what field to search by.
Enter a search value.
Click **Search.**
The results contain records found that match the search criteria. For instance, if you chose **Subscriber Identifier Search**, all active enrollment records with that subscriber ID display for selection.
(_Optional_): Click on the caret to view full details on the enrollment.
Click **Add** on the enrollment to be used as the subscriber for the new person.
Click the X on the top of the modal to close the subscriber search.
Adding an Enrollment Provider
When creating a new person, you can associate providers and a role to an enrollment. This is an optional process.
Click **+ Add Provider.**
Select the **Provider type.**
Enter search criteria.
An informational message appears after the system identifies which subset of fields enables. Unavailable fields are gray. To enter a different search criterion, delete all previously entered criteria.
To search inactive providers, de-select the **Search active providers only** checkbox..png>)
Click **Search.**
Locate the provider in the search results and click **+Add.**
Enter an **Effective date** and a **Termination date** by typing or selecting from the calendar picker.
Click **+ Add Provider.**
_(Alternate)_ Click **Cancel** to return to the search results.
