Managing Attachments for Programs & Persons
Overview
This user guide details the steps on adding a program or person attachment and all operations able to be performed on an attachment.

When files or URLs need to be associated with a person or program for supplementary information or documentation.
* Confirm if the attachment needs to be placed at the person or program level based on your workflow. * When you view an attached file, a copy of the file is downloaded to your hard drive. Ensure you follow PHI handling procedures for your organization. * Attachments linked to a program aren't labeled by program in the Comprehensive Person View (CPV) list. To ensure you're removing the correct attachment, it's advised to check the attachment list within the specific program
Adding a Person Attachment
An attachment can be associated with a person. Users without program functional permissions are able to view these attachments if they have access to the person.
Navigate to the person’s CPV.
Click the Notes – Attachment panel on the right-hand side.
Click Attachments
Click Add Attachment.
Medecision supports two types of attachments: file and link. File attachments should not exceed 1 GB and must be in one of the following formats_: .mp3, .mp4, .jpeg, .png, .gif, .bmp, .tiff, .svg, .doc, .docx, .pdf, .txt, or .xlsx_. The link attachment is a URL to an external website. The link must begin with either _http://_ or _https://_.
**Adding a File Type Attachment:**Select File from the Add Attachment list.
Browse to the location of the file to attach and select the file
Monitor the file upload process.
**Adding a Link Type Attachment**Select Link from the Add Attachment List.
Enter a Title for the link. The maximum length of the title is one hundred characters
Paste or type in the Link. The maximum length of the link text is 750 characters
Click Add Link
Adding a Program Attachment
An attachment can be associated with a program. Users without program functional permissions are not able to view these attachments.

Access the program where the attachment belongs.
Click the Notes – Attachment panel on the right-hand side.

Filtering Attachments
There are two main filters: one for selecting between person or program attachments and another for filtering by file type. Below are instructions for applying these filters within the CPV, noting that the program attachment list is filtered solely by file type.
Select Program to display attachments associated with all of this person’s programs.
Select a type to display attachments of that type only* _Link:_ attached URLs * _Image:_ Files with the following extensions: jpg, jpeg, png, gif, bmp, tiff, svg * _File:_ Files with the extensions: mp3, mp4 * _Document:_ Files with the extensions: doc, docx, pdf, xlsxFor files with the txt extension, select _All Types_ to have them display
Viewing Attachments
To view a _file_ attachment, click the download button. The attached documents downloads to your browser’s default download folder and opens.
To view a _link_ attachment, click the open button. The attached URL opens in a new tab.
Unlinking Attachments
Person and Program attachments can be unlinked. This is a soft-delete and does not permanently delete the attachment from the record.
Click the .png>) icon on the attachment to unlink.
Click Unlink.
If the unlinked attachment displays gray. You are not able to view it..png>)
Restoring Attachments
An attachment that was previously unlinked can be restored to allow you to access it.
Click the
Restore button on the unlinked attachment.
The attachment is restored, and you can access it to view it or navigate to the link.
Tips for Success:* You must go to the specific program to add a program-level attachment * You can also drag and drop a file from a file browser to the attachment panel * When you are attaching a file, it must be accessible from a file location on your computer * The CPV attachment list displays those associated with the person by default. To view program attachments, you can change the filter or view from each program itself * There is no way to display all program and person attachments at once
