Basic Task Capabilities

Overview

Tasks track activities for a person or a program. Tasks are commonly used to transfer work back and forth between different users of a team or different departments. Tasks are also used as reminders of work to complete at a future point.

This user guide focuses on basic capabilities of tasks and task management. Additional guides detail steps through more complex procedures.

When you have work to complete for a member or a member’s program and you want to build a list of tasks on your worklist to keep you on track.

* Data permissions apply to task notes, so ensure you are placing your note on the right level of task. * Task ID is not able to be used to search. But is helpful to provide to Medecision support if an issue arises. * Task description is reportable. * Task description is not able to be voided. * The system can be configured to automatically generate tasks. These tasks can be identified by viewing the Originator field in the Task details section of the task.

Adding a Task

To add a person-level task, start on the person's CPV.\ To add a program-level task, start on the program details page.

Click the Tasks tab.

Click + **Add Task.**

_Alternate_: If tasks exist for the member or the program, the add button appears in the upper right-hand corner.

The top panel is read-only and contains system-generated information about the task. When creating a task, you see only the **Association** and **Originator**. Neither can be changed. The **Association** is _Person_ for person-level tasks and _Program_ for program-level tasks.Once the task is saved, the **Source System** and **Task ID** display.

#### Required Steps to Create a Task* Select a **Type.** * Select a **Reason.** If this is disabled, a **Type** must be selected first.{% include "broken-reference" %}

#### Optional Steps to Create a Task* Enter a **Task Description**. Once the task is saved, this description is not able to be changed. * Change the **Start Date** and and **Start Time.** * Change the **Due Date** and **Due Time**. It defaults to the current time + 4 hours. The **Due Date** and **Due Time** cannot be prior to the **Start Date** and **Start Time**. * Change the **Department Owner**. For _person-level_ tasks, this value defaults to a department you belong to. For _program-level_ tasks, this value defaults to the department owner of the program, or the department configured as the default.

To clear out the current value of the Department Owner, select the x at the end of field.

* Change the **User Owner**. This defaults to you. * Change the **Priority**. This defaults to the priority selected by your organization.

Click **Save & Exit** to return to the CPV[^1] or the program details.

_Alternate_: Click **Save** to remain on the task page to review or add a task note.

Alternate: Click **Cancel** to return to the CPV[^1] or the program details without saving the task.

Editing a Task

Task Edit Entry Points

* Your personal worklist- A department worklist* Another user’s worklist to which you have access- Tasks tab on the CPV* Tasks tab on a Program details page

Click the pencil icon on the task to edit.

Edit the fields you want to change.

If you change the **Task Type**, you must select a new **Reason**.

Click **Save & Exit** to leave the task page.

_Alternate_: Click **Save** to remain on the task page to review your changes or add a task note.

_Alternate_: Click **Cancel** to leave the task page without saving your changes.

Adding a Task Note

Notes can be added to a task while viewing the task details. This automatically associates the note to the task being viewed.

Click the **Notes** bar on the right-hand side.

Click **Add Note**

The **Association** is automatically set based on the level of the task, either _Program_ or _Person_. **Task Reason** matches the **Reason** in the task. This automatically changes if the **Reason** is changed in the task. Both of these fields display on the note summary panel.![](<../../../../.gitbook/assets/image (95).png>)

Click **Create Note.**

Click **Close** to return to the Task view.

Closing a Task

Select an **Outcome.**

(_Optional_) Change the **End Date** and **End Time**. These default to the current date and time. They cannot be prior to the task **Start Date.**

Click **Save & Exit** to leave the task page.

_Alternate_: Click **Cancel** to leave the task page without closing the task.

Cloning a Task

You are able to clone any task, even closed, and make an exact duplicate. All data in the original task is copied to the cloned task, including a task description.

Select the clone icon in the upper right-hand corner.

Make any necessary changes to the cloned task.

Click **Save & Exit** to leave the task page.

_Alternate_: Click **Save** to remain on the task page to review your changes or add a task note.

_Alternate_: Click **Cancel** to leave the task page without saving the cloned task.
