File-Based Data Import

Overview

Medecision's digital platform supports file-based data imports to load member program data and request data into the system. This guide explains how the process works, what you need to do, and what to expect.

For Legacy customers, this file-based data import process replaces the Request and Program Import (RPI) process.

How It Works

When you submit a data file, the platform automatically processes it through a series of steps:

  1. You submit your file.

  2. The system ingests and routes it.

  3. Data is loaded into the platform.

  4. Result/Audit files are generated for your review.

There are two types of data loads supported:

  • Program loads: For program data

  • Request loads: For request/authorization data

The system determines which type of load to run based on the filename you provide.

Your Responsibilities

File Preparation

  • Format your data file according to the specifications provided.

  • Use the exact filename pattern assigned to your organization. Files that do not match the expected naming convention will not be processed.

  • Encrypt your file using PGP encryption before submission.

File Delivery

Your file delivery method is configured during onboarding. The two supported methods are:

  • Direct cloud storage upload: Upload your encrypted file directly to your assigned cloud storage location (preferred method).

  • SFTP: Submit your encrypted file to the designated SFTP endpoint. Available for organizations with existing SFTP integrations.

What Happens After You Submit the File

Step 1: File received

Your file is picked up from the delivery location.

Typical Timing: Within 15 minutes of submission.

Step 2: File routed

The system identifies the file type and routes it to the appropriate loader.

Typical Timing: Automatic (seconds)

Step 3: Data loaded

Your data is loaded into the Medecision platform.

Typical Timing: Varies by file size

Step 4: Results generated

Audit/result files are produced for your reconciliation.

Typical Timing: After load completes

Result Files

After your data is successfully loaded, the system generates result files (summary and detail reports) that you can use for reconciliation. These files are delivered to your designated cloud storage location.

Important: Result files are delivered via cloud storage, even if your inbound files are submitted via SFTP.

File Naming Conventions

Your organization is assigned specific filename patterns during onboarding. These patterns determine how your file is routed and processed.

Considerations:

  • File names are case-sensitive.

  • Files that do not match your assigned pattern will not be picked up for processing.

  • If you need to change or add filename patterns, submit a ticket to Medecision support with the request.

Monitoring and Status

If you need to check the status of a submitted file or have questions about processing, contact Medecision Support. Please have the following information ready:

  • The exact filename submitted

  • The date and approximate time of submission

  • The delivery method used (SFTP or cloud storage)

Frequently Asked Questions

Q: How long does processing take?

A: Most files are picked up within 15 minutes of submission. Total processing time depends on file size but typically completes within a few hours. Result files are generated after the data load finishes.

Q: What happens if my file has an error?

A: If there is a formatting or data issue, details will appear in your result files. Review the summary and detail reports for any rejected records and corrective guidance.

Q: What if I don't receive my result files?

A: Contact Medecision Support. Include the filename and submission date so we can trace the file through the system.

Q: Can I submit multiple files at once?

A: Yes, you may submit multiple files. Each file is processed independently based on its filename pattern.

Q: Do I need to change anything about how I send files if I'm migrating from the legacy platform?

A: In most cases, your file format and delivery method remain the same. The primary change is that result files are now retrieved from cloud storage rather than SFTP.
